Title HRIS Coordinator

Description The HRIS Coordinator is responsible for assisting with the prompt and accurate management and input of payroll information for all of Icicle’s Western Alaska locations. This position will work closely and collaboratively with the HRIS Reporting Specialist. The HRIS Coordinator will play a strong supporting role for the recruitment team, placing advertisement, contacting employees and applicants through various platforms, performing reference checks and assisting with the onboarding process.

Duties and Responsibilities:
• Assists with HRIS Payroll data entry for all Western Alaska locations and Shop payroll year-round. Cross trains with HRIS Reporting Specialist for Western Alaska Payrolls and acts as backup when needed.
• Assists with the performance of reference checks in adherence to all Icicle company policies and procedures for all Western Alaskan applicants, and other areas of the company.
• This position will be responsible for special projects within the Recruitment and HR department.
• Responsible for becoming an expert in PowerPoint, Excel and Icicle’s UltiPro system to provide support to the department, and complete special projects within UltiPro.
• Create reports in UltiPro’s Business Intelligence report system for regular department reports, and special reports as needed.
• Ensure that filing cabinets are updated with documents filed in proper places.
• Assist in the creation/compilation of recruitment procedure manuals.
• Assist in the creation and maintenance of department process manuals and flow charts.
• Assist recruiters with large group coordination and logistics to our AK locations, as needed, which may include meeting groups at the SEATAC airport.
• Track and record referral bonuses, as well as other payroll related reimbursements, sending final spreadsheet to the Manager of Alaska Recruitment.
• Work with the Manager and Assistant Manager of Alaska Recruitment in managing the employee Leave of Absence (LOA) program. Including the tracking of employees currently out on a LOA, contacting employees regarding LOA status and ensuring that Icicle has received a response and any necessary backup paperwork in the timelines outlined in their LOA paperwork.
• Track hours worked by H2B employees to ensure that they have worked an average of 30 hours/week throughout the entirety of the season.
• Other duties as assigned.
Requirements • Bachelor’s Degree preferred.
• Minimum 3 years of experience in an office environment
• Strong Microsoft Office skills; including accurate data-entry skills.
• Excellent written and verbal communication skills.
• Strong attention to detail and organizational skills.
• Able to work both independently within a fast paced environment as well as collaboratively within a team setting.
• Able to multi-task and prioritize projects to meet deadlines.
• Prompt, regular and predictable attendance is an essential function of this position.
• Must be will available to work extended hours, including weekends and holidays, as necessary.

Work Schedule:
• This position is based in the corporate office which is located in Seattle, Washington and will require prompt and reliable attendance into the office during core business hours as face time in the office is a key company value. The schedule for this position will be Monday-Friday, 8:00am – 5:00pm. Please note that this position may require some extended hours (mornings, evenings, weekends, holidays, etc.) in order to meet business needs during peak seasons.
