Your key duties will include:

·         Prepares a wide variety of routine correspondence, forms reports, and similar items, for the SPC Training team, using word processing, spreadsheet, and data entry software.

·         Copies, sorts, faxes, collates and retrieves SPC Training documents.

·         Acts as receptionist, greeting Training visitors and participants, and notifying staff of their arrival; assists SPC Training staff with appointment scheduling.

·         Directs all volunteer applicants, or received applications, to the SPC Training Coordinator(s).

·         Plans, organizes and coordinates SPC Training meetings and Training sessions; coordinates location and refreshments; secures necessary media equipment.

·         Assists in monitoring SPC Training program expenses; monitors supplies and re-orders supplies, forms, books and other items; obtains petty cash for trainings as needed.

·         Schedule trainees into ASIST trainings, and inform them (typically via email) about their ASIST assignments. Process and print all SPC trainees’ completion certificates.

·         Assemble all forms, folders, and handouts, determined by the SPC Training Supervisors and Coordinator(s), for training sessions. Also, create role-play binders consisting of role play scenarios and evaluation forms for all role-play training sessions.

·         Create Staff IDs for all volunteers, and coordinate with Didi Hirsch’s Training Department to assign trainees their companywide online training system (i.e. Relias) logins. Email the trainees these logins and their account information.

·         Support SPC Training staff to maintain data on whether trainees have done their outside-class assignments (DDH training, phone buddy sessions, listen-ins, Relias, etc.).

·         Coordinate with SPC Training staff to schedule all fingerprinting (i.e. LiveScan) sessions. Correspond with outside company (or companies) to facilitate these scans. Attend these fingerprinting sessions at the SPC Training facility to assist in getting all trainees through the process as efficiently and expeditiously as possible.

·         Facilitates the badge processing for all new volunteers, so that they have access to the secure SPC facility. 

·         Supports SPC Training staff in determining all parking needs for training sessions.

·         Responsible for performing Suicide Prevention Center (SPC) Training administrative, clerical, and support duties in a timely and efficient fashion.



You must be able to successfully pass our pre-employment screening, including a background check and live scan fingerprinting.  For bilingual positions, you will need to pass a language assessment. You will also need to meet the following requirements for this role:

·         Demonstrate a working knowledge of business English, spelling, punctuation, and general office practices and procedures.

·         Support the values and mission of Didi Hirsch as related to employment.

·         Know and comply with Didi Hirsch division and Agency policies and procedures, HIPAA, DMH policies and documentation guidelines, and other state, federal regulations relating to division or department activities.

·         Demonstrate current knowledge of all job specific skills to include strong working knowledge of computer systems and software as they apply to program or department activity (Microsoft Office including Word, Excel, Powerpoint, and Outlook included).

·         Possess basic math skills sufficient for utilizing and tracking petty cash, receipts and related functions.

·         Present ideas, information, and viewpoints clearly, both verbally and in writing.

·         Utilize analysis, experience, and judgment to make decisions within policies and procedures.

·         Demonstrate commitment to team objectives and Didi Hirsch philosophies.

·         Adapt to changing needs by acquiring new skills and knowledge.

These requirements are typically met by a combination of education and experience that includes at least one year of experience working in a mental health related position or in a training/educational setting. Experience working on a crisis line is a plus.
