JOB

JOB PURPOSE:   This position is responsible for all payroll-related compliance, tax, and accounting functions including: company payroll tax, performing weekly audits, financial reporting, assisting with the implementation, creation, and management of all compliance related requirements. The role will be a key partner to the Payroll Manager in addressing complexities, engaging team activity, monitoring third party vendors, and continuous improvements.


CORE JOB FUNCTIONS/RESPONSIBILITIES:

  • Responsible for identifying and implementing corrective action(s) to minimize risk including acting as the liaison between Payroll and the HRIS Analyst to validate correct setup of tax jurisdictions, in addition to applying for company identification numbers when required.
  • Work closely with third party vendor(s) to ensure payroll taxes are filed accurately and timely and correct rates are applied on all calculations.
  • Conduct routine weekly wage and tax audits prior to submission and filing of all tax returns.
  • Verify and apply tax updates/changes within core HRIS prior to final production of paychecks.
  • Partner with Corporate Tax department to ensure that all payroll wage and tax financial reporting is provided in a timely manner in support of Corporate tax filing requirements.
  • Responsible for handling unclaimed property and escheat report to states.
  • Responsible for ensuring the interface with 3rd party vendor is compliant with requirements and generating accurate data.
  • Responsible for financial reporting related to cash and tax liability accounts.

    OTHER JOB FUNCTIONS/RESPONSIBILITIES:

  • Transmit weekly payroll tax payment to third-party provider and validate periodic/quarter/annual tax filings by jurisdiction are accurate
  • Create ad hoc reports as requested for research projects
  • Participate in and/or lead various special projects as identified by manager to support Human Resources initiatives
  • Assume a key role in the development of processes and procedures that will enhance and/or increase productivity of the Payroll Department
  • Responsible for annual W-2 audit and validation process

     

    Knowledge/Skills:

  • In depth knowledge of federal, state, and local tax regulations in a multi-state environment
  • Strong written and verbal communication skills
  • Excellent time management and organization with attention to detail
  • Strong customer service/interpersonal skills

    Freedom to Act:

  • Ability to work with minimal supervision while achieving a high degree of accuracy and meeting payroll deadlines
  • Lead the vendor relationship as well as internal partnerships

    Size and Complexity:

  • Proven track record of successfully managing multiple priorities including effectively prioritizing a significant workload
  • Ability to meet tight deadlines with internal/external partners

Interaction:

  • Ability to participate in or to lead special projects
  • Ability to handle confidential information with the utmost level of professionalism

    External Relationships:

  • Connect with external audit teams to ensure best practices are being used
  • Partner with third-party vendor(s) regularly

    EDUCATION/EXPERIENCE  

    Required

  • Bachelor’s Degree in Finance, Accounting, or related field
  • 5+ years of related payroll tax experience in multi-unit, multi-state setting
  • Advanced experience Excel, Outlook, Word
  • Experience with ADP Smart Compliance

    Preferred

  • Certification as a Certified Payroll Professional (CPP)
  • Global payroll experience
  • Experience with HRIS/Payroll applications (e.g. ADP, Ceridian, Ultimate Software)
