Description GENERAL SUMMARY:
The Special Projects Manager is responsible for overall management of the Executive Office. He or she upholds the mission and values established by Aspire Public Schools. The position reports to the Vice President of Operations and works closely with teammates across and at all levels of the organization, funders, families, and external stakeholders.

ESSENTIAL DUTIES & RESPONSIBILITIES:
Administrative Services
• Supports the Chief Executive Officer with calendar, travel, reimbursements and catering/event planning.
• Manages CEO’s task list and time allocation based on established priorities and goals.
• Facilitates the preparation of materials and background materials for meetings and events.
• Takes and summarizes meeting notes, action items, and priorities for CEO.
• Responsible for creating, reviewing and editing presentations and documents from the CEO for internal and external use, working closely with the Advancement & Communications team.
• Serves as a representative of the CEO and conduit for teammates and external parties to communicate with the CEO.

Events Coordination
• Schedules and organizes key, internal events for CEO, such as Town Halls, and works closely with other teammates to execute.
• Leads Board of Directors’ Executive Committee agenda creation, materials compilation, scheduling, and execution. Supports the scheduling and organizing of Board of Directors and Finance Committee meetings.
• Manages the non-staff portion of the Executive Office budget related to events and conferences.
• Manages vendor relationships, including negotiations and disputes.

Special Projects
• Analyzes feedback and suggestions on CEO-run events, such as Town Halls and Board meetings, in order to find areas of improvement and implement changes.
• Identifies and implements new processes and tools to improve the effectiveness of the CEO.
• Delivers any required tools or process training to the CEO.
• Conduct research on a variety of topics for the purposes of providing information, insights or suggestions to the CEO or other applicable parties.

Other Related Duties & Responsibilities
• Demonstrates knowledge of, and support, Aspire Public Schools mission, vision, value statements, standards, policies and procedures, operating instructions, confidentiality standards, and the code of ethical behavior.
• Performs other related duties as required and assigned.
Requirements QUALIFICATIONS:
1) Required knowledge, skills & abilities:
• Strong organizational, time management and multi-tasking skills
• Strong interpersonal and communication skills
• Expedience in office management
• Ability to manage projects from idea generation through to implementation
• Ability to work with constant interruptions and remain focused; understand and carry out oral and written instructions; learn new procedures and upgrade skills in order to meet changing job conditions
• Ability to work independently as well as with a team
• Professional appearance and manner

2) Minimum educational level:
• B.A. Degree or equivalent work experience

3) Experience required:
• 6 plus years in fast-paced, ever changing administrative position; experience in a school environment preferable
• Supervisory experience
• Proficiency with Microsoft Office, network printing, copiers and fax machines
